Area Property Manager (London based)
A great opportunity to join this established property investment business who have a large UK holding of residential and commercial interests in the UK. The role will lead the largest Area office of their portfolio and working in conjunction with the team to manage the needs of the various properties they look after and maintain
Client Care
To prepare reports for the Board (Major Works, Property Inspections, H&S Reports, schedules of information etc.)
To put forward recommendations and obtain instructions (Regional Control, Commercial Controller) on matters concerning the effective management of the managed portfolio. To manage/priorities risks and liabilities
To avoid any conflicts of interest.
To maintain good Landlord and Tenant relationships by providing a high-quality service to all tenants and leaseholders of the Group.
To obtain value for money for the Group and act in a commercially focused manner.
To work with Colleagues and external consultants to ensure that the Group’s interests are preserved.
Day to Day Management
To ensure the Area Office provides an efficient and effective management of its property portfolio both residential and commercial.
To ensure that the Area properties are maintained, improved and presented in order to maximise rental income.
To motivate and manage the Area Office staff to achieve optimum performance in protecting the joint interests of both the company and residents.
To deal with the physical maintenance and improvement of the properties
To establish rent levels in accordance with guidelines on both residential and commercial properties and to deal with rent reviews, lease renewals and new lettings.
To monitor regulated tenancies and A.S.T.’s and the rental levels set and to deal with any increases applying legal procedures to maximise income as far as possible.
To prepare and submit plans and reports for review/approval e.g. rent levels and income enhancement, major works, wage and salary reviews etc.
To monitor and control performance against agreed budgets and Group criteria.
To maintain effective working relationships with Managers in other Group Areas/Departments, and good business relationships with contractors, local authorities, insurers, other agencies and tenants;
To maintain day to day reports in accordance with Group procedures;
To monitor and deal effectively with tenant complaints and to ensure all follow-up actions are taken; To liaise with residents and Residents Associations to ensure that the Group’s image is correctly projected.
Work with the Building Surveyors and Property Managers on all qualifying works and long-term agreements and adhere to Section 20 Consultation procedures
Assist with providing Insurance Department disclosure queries.
Health & Safety
Ensure that H&S is constantly reviewed and that all statutory obligations, in respect of the portfolio, are always adhered to, working closely with the Residential Health and Safety Co-ordinator.
Manage H&S across the designated portfolio using the Group’s Management Information Systems (PropertyPlus, Environtec Portal) and ensure the Area Office are dealing with any actions arising in a timely fashion.
Ensure statutory inspection reports are reviewed and all remedial works/recommendations which are raised, are managed, seeking advice from Regional Executive/external consultants as necessary.
Financial Responsibilities
To monitor and control, expenditure per property over the Area portfolio, against detailed budgets, and to utilise and interrogate the Qube Horizon property management IT system.
To agree service charge computations with the Service Charges Department and to clarify issues of dispute
To ensure that consultation procedures under the Landlord and Tenant Acts are followed and that the Group’s interests are protected.
Legal
To work with the Legal Department ensuring the Area Office provides prompt responses to all Pre-contract Enquiries (LPEI).
Attend court as required in respect of leasehold disputes.
To assist the Property Managers in dealing with disputes/breaches of lease (ie service charge/ground rent arrears, unauthorized alterations, disrepair) in a proactive way and ensure that s.146 rights are preserved and seek instructions (from Regional Control/CommerciaI Controller) to engage solicitors where necessary.
Assist the Legal Department with any licence to alter applications, statutory lease extension and enfranchisements claims.
Team Management
Provide support and guidance to the team as required and requested, to ensure that they fulfil the duties as outlined in their job description.
HR matters – holiday, sick leave, expenses, recruitment, changes to existing staff/leavers, disciplinary and grievances – liaising with Group Resources as necessary.
Ensure that the management of the wider portfolio and office-based tasks are covered whilst members of the team are on annual leave or absent from the office.
Review of service level agreements, terms of business across the wider portfolio to ensure that the Group receives value for money at all times.
Approval of Expenditure Authorisations in accordance to the Groups Procedures.
Approval of year end accounts.
Management of all property records to ensure these are accurate and up to date at all times.
Preparation and collation of reports for the Board, Senior Management.
Management of arrears across the wider portfolio, Within the Area Offices control. • Management of rent reviews, lease renewals, break clauses and lease expiry dates.
General
To carry out any other task, as directed by the Management Team, that is within the capabilities of the job holder.
